Job Summary: We are seeking a dedicated and efficient Administrative and Intake Specialist to join our team. This role combines administrative duties with the intake process for patients, ensuring smooth operations and high-quality patient care. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.

Key Responsibilities:

  • Front Office Management: Open and prepare the front office and lobby, ensuring all necessary equipment is operational.
  • Intake Coordination: Assist with coordinating and managing the intake process for patients.
  • Patient Information Management: Collect and verify patient information, including medical history and insurance details.
  • Appointment Scheduling: Schedule appointments and coordinate with healthcare providers.
  • Documentation: Ensure accurate and timely documentation of patient records.
  • Patient Support: Assist with patient education and provide necessary resources.
  • Collaboration: Collaborate with other healthcare professionals to ensure seamless patient care.
  • Confidentiality: Maintain confidentiality and adhere to HIPAA regulations.
  • Communication Management: Answer telephones, direct calls, and manage mail and faxes.
  • Data Management: Maintain oversight of communication routes, including faxes, emails, and messages. File paperwork and maintain information using computer software packages.
  • Data Integrity: Create, maintain, and purge data files and logs; make necessary updates and corrections. Extract and release information in compliance with policies and regulations; prepare reports as needed.
  • Clinical Support: Track clinical and field staff notes.
  • Administrative Decisions: Make administrative and procedural decisions on sensitive issues.
  • Problem Solving: Resolve data input, storage, and retrieval problems; design solutions and modifications.
  • Information Resource: Serve as a primary source of information on specialized data files for internal and external clients.
  • Reporting: Perform limited data analysis and generate various reports.
  • Scheduling: Assist with scheduling staff appointments and maintaining schedules.
  • Supply Management: Order supplies and organize files and cabinets. Track supplies and maintain PAR levels.

Skills and Qualifications: Previous experience in an office setting or front desk role is mandator

  • Organizational Skills: Strong organizational and multitasking abilities.
  • Communication: Excellent communication skills, both written and verbal.
  • Attention to Detail: Attention to detail and accuracy in data entry and record keeping.
  • Medical Knowledge: Knowledge of medical terminology and procedures.
  • Technical Proficiency: Proficient in using electronic health record systems (e.g., Cerner).
  • Adaptability: Ability to work well in a fast-paced environment.
  • Empathy: Compassionate and empathetic approach when interacting with patients.
  • Strong organizational skills: with the ability to manage multiple tasks simultaneously.
